BACKGROUND

LAW is currently looking for a dynamic individual with excellent organizational skills, who relishes the opportunity to advance respect for victim and survivor’s rights in a challenging and ever-changing context.  You will work closely with the Executive Director and Senior Management to ensure the smooth running of LAW’s head office in Switzerland.  You must be able to work independently, to coordinate and communicate effectively with all stakeholders both internally and externally.

LAW is an independent, non-profit organisation comprised of human rights lawyers and jurists working in fragile and conflict affected areas in the Middle East, Africa and South Asia. LAW has a particular focus on gender equality and sexual and gender-based violence, the rule of law and accountability and transformative justice – working to bring justice to those who need it most.

LAW’s portfolio includes multiple ground-breaking cases, which utilise creative legal strategies on behalf of victims and survivors from some of the most challenging contexts, representing more than 1000 clients.

LAW’s ground-breaking work has received international media coverage, including in the New York Times, the Times of London, the Guardian, Al-Jazeera, BBC News, France24, The Independent, Voice of America, Huffington Post and Foreign Policy, amongst others.

ABOUT THE POSITION

Where? The position is based at LAW’s HQ in Geneva, Switzerland.

This position is funded and available for a year on a full-time basis.

Salary: Competitive salary will be offered, plus medical contribution, plus ample learning and development opportunities.

ROLE OVERVIEW AND RESPONSIBILITY

You will work closely with LAW’s Executive Director, LAW’s Board of Directors and Committee and will be the focal person to disseminate information efficiently and effectively. You will also oversee the smooth running of the HQ office. More detail about the role:

Work with the Executive Director:

  • Planning and coordinating regular Board Meetings and the General Assembly, drafting and preparing required documentation; agenda’s, minutes and following up on action points;
  • Management of the Executive Director’s diary, arranging and facilitating both internal and external meetings;
  • Coordinating organisational events and meetings such as programme manager’s and all staff meeting; including; drafting and circulating agendas, preparing reports; minutes and ensuring these are actioned;
  • Coordinating with programme staff and booking travel arrangement and detailed itineraries including visas, logistics, travel packs for the Executive Director;
  • Participating at internal and external meetings as requested; taking minutes; ensure minutes are efficiently recorded and available in a timely manner;
  • Prepare monthly expenses for senior management and global subscriptions;
  • Act as administrative focal point at the Head Office; including partner organizations, consultants
  • Providing guidance on administrative duties such as processing invoices and setting up meetings.

 

Administrative Support

  • Ensure the global proposal tracker is accurate and kept up to date;
  • Assist the senior management on global projects; research, collating information as and when required;
  • Support with administrative duties related to the running of the office including procurement of service providers, and handling correspondence;
  • Liaise regularly with management to ensure that policies and procedures are being implemented accurately, kept up-to-date, and disseminated to programme teams;
  • Coordinate meetings; organise and circulating agenda’s, taking minutes as and when required;
  • Support with the planning of missions, including organizing flights, accommodation, security personnel and equipment, and preparing mission schedule based on programme objectives for senior management;

 

Office Management

  • Maintaining contact with the letting agent in relation to any building management issues;
  • Managing the Geneva cleaning company and the sub tenants;
  • Ensure office stationery, equipment and supplies required are purchased as and when required;
  • Support and track payment authorisation and handle suppliers and vendors’ queries;
  • Organize and maintain the office including common areas;
  • Maintaining inventory of office equipment including laptops, and mobiles for the Geneva office;

Any other duties as specified by the Executive Director or Senior Management.

ABOUT YOU

You must have the right to work in Switzerland; work permit, residents, and EU citizen should apply;

  • Bachelor’s degree or Diploma in Business Administration or relevant field;
  • 4 years demonstrated experience working in a similar operational role within an INGO;
  • Track record of managing senior management diaries; taking minutes; drafting communications and correspondence effectively;
  • Demonstrated experience providing administrative support across multiple functions and teams;
  • Experience of processing procurement procedures, subscriptions and preparing expense claims;
  • Ability to work in a consultive and collaboration manner;
  • Excellent written and oral skills both in French and English;
  • Excellent administrative and organizational skills;
  • Strong communication and interpersonal skills with the ability to work independently and take initiative;
  • Managing a large, variable workload and meeting tight deadlines;
  • Excellent knowledge of Microsoft Word, Excel, and PowerPoint;
